A company introduced a scheduling tool to five volunteers. After a week, all five said that arranging meetings had become easier. The project leader was pleased and wanted to launch it across every department. Yet the volunteers had chosen to participate and already liked trying new software.
Their experience was useful evidence about the tool's potential, but it was not a complete picture of future use. Other employees might have different tasks, limited training time, or accessibility needs. The team also had not observed whether people continued using the tool after the initial enthusiasm faded.
Instead of treating the pilot as either proof or a failure, the leader planned a second test with a broader group. The next trial would include support requests and continued use, not just satisfaction at the end of the first week. A pilot is most valuable when it narrows uncertainty and helps define the next question.
